Set up a mail collector on Gmail, step-by-step instructions. How to collect letters from different mailboxes in one place

If it is not possible to automatically configure the connection between the collector and the server

The first mail collection will occur within a few minutes after you set up the collector. The collector contacts another mail server from several times an hour to once every few days. You cannot manually set or change the collection time. It depends on the protocol used (POP3 or IMAP), as well as on the operating features of the server from which mail is collected. This is why letters may arrive with a delay.

Collect mail from another mailbox on Yandex

Collect new letters

If you want to collect mail from your other Yandex mailbox, you can set up a forwarding rule in it. After confirming the rule, all new emails will be redirected to your current mailbox.

Pick up old mail

To collect old letters from another Yandex mailbox:

Select a folder for collecting letters

  1. Open the mail collection settings page.
  2. Click the Remove link.
  3. Confirm deletion.
  4. Create a new collector using the POP3 protocol.

After this, in the settings you will be able to select a folder for collecting letters.

Edit collector settings

To disable the collector, go to the Mail Collection page and click the off link.

If you no longer need the collector, click the collector's name and then the Delete link.

Write a letter on behalf of the connected mailbox

If you want the recipient to receive an email from your email address on another service (for example, Gmail or Mail.Ru), add this address on the Email Addresses page and confirm access to it. After confirmation, you will be able to select in the From field not only an alias of your address on Yandex, but also an email address on another service.

Attention. If you add a mailbox address on another mail service, configure the collection of letters from it to a mailbox on Yandex. Without a configured collector, sending letters from such an address will not work. When setting up the collector, instead of a login, specify the full address, for example [email protected].

If, even with a correctly configured collector, you are unable to send letters from an address on another mail service, this means that the security rules of this service prohibit sending letters through other mail services, including Yandex.Mail.

What can you do with collected letters?

With collected letters you can do everything the same as with other letters in the mailbox, but there are some special features:

Deleting emails

If you delete a collected message, it will only be deleted from the mailbox where it was collected. The letter will remain in the original mailbox.

Rules for processing letters

Processing rules only work for letters collected in the Inbox folder. If the letter is collected in another folder, the rule will not work for it.

Black list

The blacklist does not work for messages collected from another mailbox of yours. To block such emails, go to the mailbox from which the emails are collected and set up a blacklist in it.

Collecting emails doesn't work

This step-by-step guide will help you solve problems related to the operation of the mail collector. Before you begin, open Yandex.Mail in a new tab to follow the recommendations.

The speed of the collector depends on the number of letters in the mailbox from which the letters are collected, and on the operation of the server on which this mailbox is located. Delays in collecting letters may also occur due to the protocols used by the collector.

Many tricks will help make working with email more convenient - SMS notifications, autoresponder, mail collector and other features.

Despite the ubiquity of programs and services for quickly exchanging small messages (ICQ, Google Talk and others), good old e-mail - the method of exchanging information with which, generally speaking, the Internet began - still enjoys popularity, honor and respect.

Unfortunately, many of us do not use our email inboxes to their full potential. Did you know, for example, that several mailboxes, even located in different mail services, can actually be combined into one? Or that you don’t have to sit near the screen while waiting for an important letter, because you can set up an SMS notification? These and many other features are hidden in the settings of your mailboxes; getting to them is a matter of a few clicks, but you need to know which way to dig.

    "We are not at home"

If for one reason or another you will be cut off from the Internet for a long time (anything can happen - you caught a cold, went to the country or on vacation), then it makes sense to turn on the so-called answering machine for this period, which will inform all incoming letters that the owner The box has left “for Paris on urgent business” and will not respond immediately.

In the Mail.ru system (www.mail.ru), this feature can be accessed by going to your mailbox, clicking the “More” button in the top menu, selecting the “Settings” item, and in it - the “Letter Wizard” menu. At the bottom of the page that opens, you will see the “Autoresponder” section. By checking the box next to “Enable auto-reply”, fill in the “Auto-reply text” field. In it, you are free to write whatever you want, as long as your subscriber understands that you cannot read his letter right now, but as soon as you find yourself at the computer, you will read it immediately. Under the text field, you can set the operating time of the answering machine - you can specify not only the date, but even hours and minutes. In order for the autoresponder to work, you must enter the password you use to log into your mail.

In Yandex.Mail (mail.yandex.ru), the answering machine is available in the Settings - Mail processing rules menu. To enable it, you need to click the “Create rule” button, and then in the “Perform action” section, select “Reply with the following text” and enter the desired text in the field (like “I can’t read your letter right now, but I promise to do so, like Only I will have this opportunity." When finished, click the Create Rule button.

There is also an autoresponder in the popular email system Gmail (www.gmail.com). You can enable it in the settings by clicking on the gear image in the upper corner. In the settings section, go to the “General” tab and set the switch to the “Enable answering machine” position. In this case, you can set up an answering machine so that letters about your unavailability will be sent only to those added to the contact list - strangers will not know about the absence of the owner of the mailbox.

    All mail in one box

If you use several mailboxes, then the “mail collection” function may be useful to you. Almost any email system allows you to connect to other email addresses and download emails from them. This way, you will no longer need to monitor several boxes at once - all correspondence will be stored in one place. In Mail.ru, the “mail collector” is located in the “Settings - Mail collector (POP3 server)” section. This function is configured as follows: you need to specify the name of the POP3 server and enter the password for the mailbox. For example, if you want letters from Yandex.Mail to be sent to your mailbox on Mail.ru, specify the server address pop.yandex.ru and the password that you use in Yandex mail. And if you need your mail system to “pick up” mail from Gmail, then the pop3 server address should be like this: pop.gmail.com. You can find out what the pop3 servers of other mail services are called on the websites of these services. There are quite a lot of them on the Internet, and it will be difficult to mention each of them.

In Yandex.Mail, collecting letters from other mailboxes is easier to set up: you just need to specify the e-mail from which you want to download letters and the password for it. The system will perform all other settings independently. In Gmail, the “mail collector” is configured in the “Mail Settings - Accounts and Import” section. In this tab there is a section “Collecting mail from other accounts”.

By the way, there is another way to collect all the mail in one box. So, in each of your email boxes, you can indicate that you want to redirect all incoming correspondence to one or another address. So, in Yandex.Mail this is done in the “Rules for processing incoming mail”. Having entered this section, click on the “Create rule” button and select the action called “Forward to address”, then specify the address to which mail should be forwarded. In Mail.ru, mail redirection is managed by the “Forwarding” menu in the settings section, and in Gmail, in order to configure the forwarding of letters, go to the “Mail Settings - Forwarding and POP/IMAP” section, then in the first drop-down menu select “Add” new email address".

    Uninvited guests

Mail systems can also “cut off” letters that you, for one reason or another, do not want to see in your mailbox. In Yandex.Mail, you can add the address of a person to the so-called “black list” in the “Settings - Rules for processing incoming mail”. In the black field, simply indicate the “unfriendly” e-mail and click the “add” button. The “Black List” item also exists in the Mail.ru mailbox settings. In Gmail, the easiest way is to click the “Spam!” button. - a letter from an unpleasant addressee will move to the “trash can”, and the same thing will happen in the future, but without your participation.

    Mail to SMS

While waiting for an important letter, it is absolutely not necessary to sit for hours in front of the computer and check your email every minute. For example, Mail.ru allows you to configure the sending of SMS notifications about the arrival of new letters. In the “SMS notifications” section, enter your mobile phone number and check the box next to “Notify about new mail by SMS”. You can also choose a time when SMS about new letters will not be sent - for example, it is unlikely that anyone will want to be disturbed at night. Gmail and Yandex.Mail do not yet provide such an option, but Yandex mail allows you to send a notification to a particular mobile number when sending a letter. This can be done by clicking on the “Additional options” link at the bottom of the letter writing form and indicating the phone number in the corresponding window.

    “Registered with acknowledgment of delivery”

Mail systems allow you to find out whether a letter has been delivered to its recipient. After the recipient of the message opens it, a special letter will be sent to you in response, which will tell you about this. In Yandex.Mail, this is done using the “Additional parameters” link under the text of a new letter - in the window that opens, you just need to check the box next to the “Notify about receiving a letter” item. But the developers of Gmail consider such a function unnecessary - in any case, they could not find it in the settings.

This article will talk about what “mail from other mailboxes” and “collecting letters from other accounts” are. Email service reviews and comparisons.

As we update the functionality of email services, we will publish news at the end of this article.

The mail service Mail.ru, search engines Yandex and Google have been offering very useful and necessary functionality for several years now, which allows you to combine all other e-mail accounts in one mail. In other words, you just need to add and configure all your “mails” once, and it will be possible to manage them in one window without constantly entering your login and password.

Mail services offer us a huge space for storing all incoming letters, a convenient interface, good management functionality and much more. To test the capabilities of the listed email services, we will highlight three parameters to evaluate their performance: 1) it is necessary to manage various e-mail accounts, including from various services and sites, through one email client; 2) have a personal signature and name for each mail; 3) delete letters from the servers of those mail accounts that were added to mail, yandex or google mail.

    Our task looks like this:

So let's get started. The first to test is the service from Mail.ru, which tells us: “You can collect mail from all your mailboxes into one mailbox on Mail.ru.

Configure the collection of letters from any server running the IMAP or POP3 protocol." To add external mail other than @mail, @inbox, @list, @bk, you need to have at least one mail that already exists on the listed servers from mail. In other words, register your mail first, and then add other mail accounts. The process of registering for mail is simple, there is no point in describing it, but we will describe adding other e-mails to this mail account.

Next, you will be asked to enter the login and password for any mailbox you use, and within 3-5 minutes, the “Mail Collector from mail” will create a folder with the name of the added mail next to the “inbox”, “sent”, “spam” and other.

In fact, the letter collector will work within 10-15 minutes and will add all letters to the newly created folder from the mailbox you specified. All incoming letters for the new e-mail will be sent to this folder, and it will also be possible to send letters from the attached mailbox. When creating a new letter, the “From” field will appear, in which you can select from which mailbox the letter will be sent.

The advantages of the Mail.ru mail service include the ease of adding and ease of setting up other mailboxes, and the absence of the need to specify different protocols (POP3, SMTP). This is very important because not every user knows what it is.

The disadvantages of Mail.ru are that it is impossible to assign a name and signature for each newly added mail (any new e-mail except the main one), that is, the name and signature of the main mail will apply to each address and that’s it. Another big drawback is that when uploading letters to mail, there is no way to automatically delete the original letters from the attached mailbox server. Why is it so important to delete emails from the server of an added mailbox? This will avoid filling out the attached mail, because... External email accounts are usually too small to store emails. For example, if the mail space in your external account is full, Mail.ru will not display any new messages until you enter the external mail interface and delete messages directly from there to free up space. In addition, we link mail to Mail in the hope of getting a lot of storage space for our mail, which may be limited by hosting resources. Thus, despite the fact that Mail.ru offers almost unlimited mailbox capacity, when adding mail from another domain zone (for example, [email protected]), your resources for the added e-mail will not increase in Mail.ru, but will continue to be limited by hosting resources (in our case, primer.ru resources).

The ability to add another mail to the Mail service did not satisfy our task on two points out of three, with a total of one point.

True, Mail.ru has another way to add external mail, or more precisely, connect or log in to external mail. It looks like this:

This method is not suitable for our task, because This is not a mail collector, but a user mode that connects to mail and loads all folders and letters into the mail interface every time. But here it is possible to add a personal signature and name for each mail, it is possible to send letters from the configured mail. Deleting emails from loaded mailboxes does not work because... This is not a mail collector.

Important! Some users mistakenly think that if letters are displayed in mail, then the mail from which the download occurred can be cleared. Let us note once again that Mail.ru works as a mail viewer, and if you clear your mail, it will be deleted both in the main mailbox and in mail.

The second test subject is Yandex with his letter collector. The tasks are similar: collect mail, assign a signature and name to each mail, and also delete all mail from the added mailbox.

The Yandex mail collector is configured according to a similar scheme, but if mail is connected from some site, for example site.ru, then additional settings will need to be specified, see screenshot.

The Mail service did this work for us, but Yandex offers to manually set all the settings from third-party mail. There is nothing complicated here: in the login field, enter the full name of the mail ( [email protected]), in the server field we enter only the domain (site.ru), it is better to leave all other settings as default, or change them if you know what you are doing. After successfully adding mail, the following message will appear:

Unlike the Mail collector, Yandex offers you to choose whether to save the original letters in the added mailbox or not. In all other respects, the letter collector from Yandex works in a similar way to Mail.ru; you can select the mailbox from which to send the letter. But Yandex has the same problem with signing letters: it is not possible to set an individual name and signature for each added mailbox.

Judging by the navigation, it is possible to add an individual signature for each mailbox, but in reality it does not work. Select your email, enter your name and signature, and click save. That's it, the signature is saved and works, but it is also saved for all other mailboxes, that is, by assigning a name and signature to one mailbox, you automatically change these parameters in all mail combined in Yandex. Even if you select any other box, the signature will now be the same everywhere.

In total, Yandex has successfully coped with the collection and sorting of mail, it can delete original letters from the added mailbox, but it cannot work with signatures! The Yandex email collector failed to cope with our task and scores two points out of three.

I would like to note that, having delved into all three services for assembling letters, it seems that Mail has whipped up its functionality. Although it will satisfy most users, to be honest, Mail made a mail collector for show, to show off in the competitive race. Everything works well and without failures, but the collector from Mail could not cope with our task. The mail interface has several advertising blocks, but they do not interfere with working with letters.

As for Yandex, which created a mail collector a long time ago, it seems that this particular industry is not being supported, because fixing such a simple functionality (the ability to add multiple signatures for mailboxes) should not be difficult for such a powerful search engine. However, Yandex has added another unique functionality that allows you to link domains to their DNS servers, and subsequently create and configure mail. But such operations and settings require knowledge and time. And although there is nothing complicated there, in any case, it is not for most RuNet users. Great advantage— no advertising in the Yandex mail interface! Minus— limit in the letter collector to 10 mailboxes.

The finalist and winner is the email collector from Google, which coped with our task with a bang, despite 5 box limit

To work correctly and highly efficiently on different boards, you need to have a whole package of mailboxes; for this you need to create 10-20 mailboxes for yourself. Due to some problems, it is better not to do them on Mail.ru, Gmail.ru, Gmail.com. These problems lie in the fact that the above-mentioned mail services have for some time now begun to intensively combat spam. And they just equated Oriflame (letters somehow related to it) with spam.

Accordingly, you run the risk of one day stopping receiving letters from applicants, or suddenly you will have problems sending letters, or an unexpectedly harmless letter you sent from someone to someone will not arrive. Although, many consultants work with these email services and do not observe any particular problems, it is better not to risk it.

It is more convenient to work with mailboxes through a mail program, for example, The Bat or Mozilla Thunderbird (an application for the Mozilla browser), or through other similar ones, so as not to work through the browser, since it will not be possible to open a dozen mailboxes in the browser at the same time. And any email program will allow you to easily work with letters from all mailboxes.

Please note that the names you created to work on the boards of your mailboxes should NOT be similar names, especially if you register in one sitting - without leaving your chair. Otherwise, message board administrators will simply identify you and delete you after you register all your accounts. Since on any serious board you can have only one account per person.

Or you can do it even simpler and work with just one mailbox, which will itself collect letters from all your mailing addresses. Yandex mail will handle this perfectly. The setup is simple and won’t take much time.

Setting up Yandex mail to collect letters from different mailboxes

To begin, you log in through your browser to your pre-prepared Yandex mail to collect letters from all mailboxes. Then, at the top right, find the symbol indicated in the first picture and click on it.

After this, you will see a drop-down field indicated on the second screen. You need to click on the link “COLLECTION OF MAIL FROM OTHER BOXES”.

Then you will be taken to the page for setting up mailboxes from which your Yandex mail will collect letters from all your emails. Everything else is intuitive. There is, however, one limitation - one Yandex mail can collect all messages from a maximum of 10 different mailboxes, but this is not a problem at all, for example, you can make 2 or 3 mailboxes on Yandex to collect mail.

The next step is to activate the settings for access to these mailboxes via the IMAP and POP3 protocols in the settings of collection boxes on Yandex. The two screenshots below show how to get to these settings.

On all mailboxes from which your Yandex mail will collect all letters, you must also do the same, providing access to these mailboxes via the IMAP and POP3 protocols. There the settings are made in the same way. True, when collecting letters using this method through the Yandex collector, there is a small, not always convenient moment - the collection of letters does not happen instantly, it is carried out only several times during the day. But I think this is not so critical.

To instantly receive mail to one mail collector on Yandex, you need to configure not the collection of letters, but forwarding (forwarding). This is also not difficult to do. You can view the mail settings for redirection at this page Yandex hints.

Today these are perhaps the most popular email services. And when considering this or that resource, we casually agreed that each mailbox can be connected to a different email address from a different service.

After all, going to every mailbox and checking mail is not always convenient. Therefore, for convenience, the ability to add a mailbox to an existing address was created. Then all mail will be collected in one place, in one mailbox. Today we will learn how to organize the collection of mail from other mailboxes.

    Let's start with Mail ru

How to add a mailbox to Mail ru

The mail ru mail service provides the ability to add a third-party mailbox to your main one.

In order to add another mailbox, go to your main mail ru mail account and click on your address at the top right

And click on the button “ to add a mail box».

After entering the data, click " To come in».

As a result of our actions, a folder appeared with our first and last name, and letters from Yandex mail will be delivered there. And you will no longer need to go to your Yandex mailbox to check new mail.

Now we’ll do something similar in Yandex mail.

How to add a mailbox to Yandex?

To add a mailbox from another mail service in the Yandex system, also log into your Yandex mail account

And click on the gear icon and select “ Collecting mail from other mailboxes».

Go to Settings " Mail collection" Now we will add a mailbox from mail ru. Enter our email address, its password and click “ Enable Collector»

At the next stage, you can specify a label for letters from Mail. All letters from the mail service will be sent to the Inbox folder. Let old emails be marked as read. Next, enter the password again and click “ Save changes».

That's it, we have connected an additional mailbox to Yandex mail. If in the future you no longer want to receive emails from your connected mailbox, you can disable it at any time.

You can add other boxes in a similar way.

To switch between the main and added boxes, use the main menu, then select the box you need.

How to add a mailbox to Gmail?

Mail from Google also allows you to connect an additional 5 mailboxes.

    And select the item ""

Go to the tab " Accounts and import" and click on the link " Add an email account»

In the new window, enter the address of the mailbox that we will add. Click " Further».

Then, one by one, specify the password for the mailbox to be added, then change the POP server to pop3.mail. ru. Check the box that ensures that copies of received emails are saved on the server. This will be your safety net in case something happens to your Google account; your emails will be saved on the mail ru server. To make it easier to recognize which mailbox the letter came to, add a label to all incoming letters from mail ru

After that, click “ Add account».

On the next page we don’t change anything like that, except you can set your own Username. Enter the password for your mailbox and click “ Add account».

After this, an email with a confirmation code will be sent to your added mailbox. You can confirm in two ways: follow the link in the letter or copy the code from the letter and paste it into the field. Click " Confirm».

Now the settings have changed. As you can see in the screenshot below, our added email address appears, which can be changed or deleted.

You can also set the default mailbox from mail ru to send letters by clicking on the corresponding link.

And now the letters from the mail ru mailbox have successfully arrived in the mailbox from Google. As you can see, all letters are marked with a label that we specified during the process of adding a mailbox.

And when creating a new letter, you can choose which mailbox you want to send the letter from.

You can also use special programs - email clients - to collect letters in one place. The most popular is " The Bat" But this program is paid. Among the free ones - Mozilla Thunderbird. Read about that on our website.

Write in the comments whether you use email clients or a letter collector, as we described today.

Let me finish here. Good luck and success to all of you!

We should strive not to ensure that everyone understands us, but to ensure that it is impossible not to understand us.
